FAQ

Straight answers for the people who use BizInv every day. Search below, or browse by topic.

Getting started

How do I sign in?

Open https://app.bizinv.com/, then enter your email and password. If your account was set up by someone at your company, ask them for your login.

I forgot my password. What do I do?

Use the "Forgot password" link on the sign-in screen and follow the email you receive.

Why can't I see anything after signing in?

You may not be added to a business yet. Ask the business owner or manager to invite you.

Can I be part of more than one business?

Yes. If you belong to multiple businesses, you'll see a business switcher — usually at the top of the screen. Pick the one you want to work in.

Dashboard New

What does the dashboard show?

The dashboard is the first thing you see after signing in. It gives you a snapshot of your business — counts, recent activity, and any warnings that need your attention.

What do the dashboard counts mean?

CountMeaning
Active inventoryItems currently in bins, not sold, not archived. Your "on hand" count.
ListedItems sent to a sales channel (eBay, etc.) and currently live.
UnlistedItems in inventory that haven't been listed anywhere yet.
Sold (this period)Items marked sold in the current period (usually last 30 days).
Pending ordersOrders received but not yet fulfilled.

Why does a count update slowly?

Counts are calculated asynchronously. After you add, sell, or move an item, give the dashboard a few seconds to catch up. If a count still looks wrong after a minute, refresh the page.

Adding inventory

How do I add a new item?

  1. Go to the intake screen.
  2. Scan or type the item's details — what it is (shirt, shoes, pants, etc.), its condition, and where it should go.
  3. Choose the bin or location where you're putting it.
  4. Confirm. The item is now in your inventory.

What condition values exist?

ConditionMeaning
NEWBrand new, never used, tags still on (if applicable).
NEW_OTHERNew but without original packaging or tags.
USED_EXCELLENTUsed but looks nearly new. No visible wear.
USED_GOODUsed, minor wear, fully functional. The most common condition.
USED_FAIRUsed with noticeable wear. Still sellable.
FOR_PARTSNot functional or heavily damaged. Sold as-is for parts.
Tip: You can change an item's condition later by opening it. The condition is never locked.

What fields can I edit vs. what is locked?

FieldEditable?Notes
Name / description✅ YesAlways editable.
Condition✅ YesChange any time.
Bin / location✅ YesThis is how you "move" an item.
Price✅ YesUpdate for sales, discounts, markdowns.
Source✅ YesReassign if you picked the wrong lot.
SKU⚠️ LimitedOnly editable before first label print.
Cost⚠️ Manager+Locked for Staff and Viewer roles.
Created by🔒 LockedSet at creation. Never changes.
Created at🔒 LockedSystem timestamp.
Activity log🔒 Read-onlyAppend-only record of everything.

Can I add many items quickly?

Yes — the intake screen is made for that. Keep scanning and confirming. After each item is added, the system may print a label for you automatically (depending on your business's printing rules).

Can I review or undo a batch?

Yes. Every item added during a session is individually editable. If you scanned 50 items and spot a mistake on item #23:

  • Open the item from the inventory list.
  • Fix the field, or mark it as archived to remove it from active inventory.
  • The activity log records who added it and when.
Heads up: If a batch partially fails (e.g., the network drops mid-scan), the items that were saved will remain. You'll see them in the inventory list. Just resume scanning — no cleanup needed.

Do I need to fill in everything?

No. At minimum you need to know what the item is, its condition, and where it's going. Price, description, and other details can be filled in later.

Why did the system slow down after many scans?

There's a per-minute limit on how many items you can add. If you scan very fast, wait a moment and try again. It's a safeguard, not a bug.

How do I know an item was actually saved?

It will appear in your inventory list and in the bin where you placed it. If you don't see it after a few seconds, try refreshing.

Finding items in inventory

How do I see everything I have?

Open the inventory list. It shows your active items, newest first.

How do I search for a specific item?

Type its SKU, part of its name, or a description word. Search works on any word you'd naturally type.

What if my search returns zero results?

If you get no results, try these in order:

  1. Shorten your search. Instead of "blue Nike running shoe" try just "Nike".
  2. Search by SKU instead. If you have the barcode, scan it directly.
  3. Check the bin. Open the warehouse view and inspect the bin it should be in.
  4. Widen the filter. If you have "Listed" or "Sold" toggled, turn those off to include more items.
  5. Check if it sold. Marked-sold items are hidden from the default inventory list.

How do I narrow a search?

The inventory list supports filters on top of the text search. You can filter by:

  • Status — active, listed, unlisted, sold, archived
  • Condition — new, used, for parts
  • Bin / zone — restrict to one physical location
  • Source — restrict to one lot or supplier
  • Date added — today, this week, this month

Filters stack: you can search "shirt" AND filter by bin AA101 AND condition USED_GOOD at the same time.

Why doesn't my item show up in search?

It may have been added without all its search information. Try searching by SKU instead, or open the item directly from its bin.

How do I see what's in a specific bin?

Open the warehouse view and select the bin you want to check. You'll see everything currently stored there.

How do I see an item's full details?

Click the item. You'll see everything about it — its SKU, condition, where it's stored, where it came from, when it was added, and who added it.

Moving items around

How do I move an item to a different bin?

Open the item and change its location to the new bin.

How do I mark an item as sold?

During a live show, or from the item's detail screen. The item will move out of active inventory and into your sold history.

Can I undo a mistake?

Most actions can be corrected. Check the item's activity log — it shows what happened and when. If something went wrong during a show or an audit, the log will usually point to the fix.

What if the activity log doesn't help?

Escalate in this order:

  1. Manager — can reverse most sales, moves, and audit corrections.
  2. Owner — can reverse anything, including things managers can't.
  3. BizInv support — only for system-level issues (data corruption, sync bugs).

Who can reverse a sale or delete an item?

ActionStaffManagerOwner
Mark item sold✅✅✅
Mark item "not sold"✅✅✅
Reverse a completed sale❌✅✅
Reverse a show❌✅✅
Edit cost fields❌✅✅
Delete an item❌✅✅
Note: Reversing a sale re-adds the item to active inventory in its original bin. The activity log keeps both events — the sale and the reversal.

Sources and lots

What's a "source"?

Where an item came from — an estate sale, a thrift store, a lot you bought. Each source has its own record so you can track cost and total items from that lot.

How do I create a source?

  1. Go to the sources screen and click add.
  2. Give it a name.
  3. Pick a type (estate sale, thrift store, etc.).
  4. Enter what you paid and any notes.
  5. Save.

How do I see how many items came from a source?

Open the source and look at its totals. It shows how many items from that source are still active, and how many have sold.

What happens if I close a source?

Nothing is deleted. The source just stops being used for new items. You can reopen it later if you need to.

Warehouses and zones

What's a "zone"?

A group of bins — like "Aisle A, Unit B, shelves 1–5". Each zone has multiple bins with codes like AA101, AA102.

How do I create a zone?

  1. Open the locations screen and click add zone.
  2. Enter the area letter (A, B, C…).
  3. Enter the unit letter.
  4. Enter how many shelves.
  5. Enter how many spots per shelf.
  6. Confirm. The system creates every bin for you.

How do I delete a zone?

Open the zone and choose to delete it. Any items in its bins should be moved first.

What's a "container"?

A cart, tote, or movable bin. Useful for shows — you load a cart, take it to the show, and know exactly what's on it.

How do I create or rename a container?

Go to the containers screen and add one. Give it a name (like "Blue Cart") and a short code. To rename, open it and change the name.

How do I take a container out of service?

Open the container and mark it inactive. It won't show up in most screens anymore, but its history stays.

Live shows (selling)

How do I start a show?

Go to the shows screen and create a new one. Give it a name. The system suggests the next show code for you.

How do I add items to a show?

Build a pick list. Pick the items you want to sell, and they'll be added to the show.

What does "picking" mean?

You're physically gathering the items from the bins. Tap picked on each one as you grab it — the system tracks which ones you've picked.

How do I mark an item as sold during a show?

During the show, tap sold on each item as it sells. It moves out of the pick list.

What if an item didn't sell?

Mark it as "not sold". It goes back to its bin.

How do I end a show?

When you're done, end the show. You can also delete a show if you created it by mistake.

Can I see how a show is going while it's live?

Yes. There's a live status indicator that shows the show is running and if anything is wrong. Green means everything is fine. If it warns you, check the show details.

Warehouse audits

What's an audit?

A physical count of one bin. You go to the bin, look at what's actually there, and enter the SKUs you find.

How do I do an audit?

  1. Pick the bin you want to check.
  2. Scan or type in every SKU you find there.
  3. Submit.

The system compares what you found against what it thought was there. Differences are highlighted for you.

What does a difference look like?

After you submit, the reconciliation screen shows three categories of rows:

Row typeMeaningSuggested action
✅ MatchSystem expected it, you found it.Nothing — it's correct.
⚠️ MissingSystem expected it, you didn't find it.Search other bins, then mark lost or move.
➕ UnexpectedYou found it, system didn't expect it.Add it to this bin, or move it to its correct bin.

What actions can I take on a difference?

  • Accept correction — update the system to match reality (for missing or unexpected items).
  • Move item — reassign an unexpected item to another bin.
  • Mark lost — flag a missing item as lost for reporting.
  • Ignore — leave the discrepancy open to fix later.
  • Re-audit — start the audit over for this bin.

What happens after an audit?

A reconciliation is created — a report of what matched and what didn't. Use it to correct mistakes. The report stays in the audit history, so you can come back to it.

How often should I audit?

However often fits your business. Some teams audit one bin per day; others do a full sweep weekly.

Printing

How do labels get printed?

You don't usually think about it. The system knows your printing setup. When you add a new item, it decides whether that item needs a label and sends the job to your printer.

What if nothing prints?

  • Check that the printer is on and connected.
  • Check that the print station is online.
  • If it still doesn't work, check your printing rules or ask a manager.

How do I know which printer to use?

The system routes labels automatically based on your rules. You don't usually need to pick. If labels are going to the wrong printer, your printing rules need adjusting — only owners and managers can change them.

Channel listings (eBay and more) New

What is a channel listing?

An item that has been sent to an external sales platform — most commonly eBay — so it can be sold there. BizInv tracks which items are listed, where, and for how much.

Which channels does BizInv support?

  • eBay — fully integrated. Items can be pushed live, prices synced, and sales pulled back in.
  • Whatnot — used for live shows. See "Live shows" section.
  • Shopify, Poshmark, Amazon — support varies by plan. Check your business settings.

How do I know if an item is listed on eBay?

Open the item's detail screen. Look for the Listed on eBay field. It shows:

  • Not listed — item is in inventory but not on eBay.
  • Listed — item is live on eBay. The eBay title and price are shown.
  • Ended — the listing was ended or expired.
  • Sold — item sold on eBay. This is linked to your Orders screen.

Can I edit the eBay title from BizInv?

Yes — if you have a Manager or Owner role. The eBay title field on the item detail screen can be edited and pushed to eBay. Staff and Viewer roles can see it but not edit it.

Where do I see all my channel listings?

There's a Listings screen (sometimes labeled "Channel Listings"). It shows all items currently pushed to external platforms, with filters for:

  • Channel (eBay, Shopify, etc.)
  • Status (live, ended, sold)
  • Date listed
  • Price range

What happens when an item sells on eBay?

  1. eBay notifies BizInv of the sale.
  2. BizInv marks the item as sold across all channels.
  3. The item is removed from active inventory.
  4. An order is created in the Orders screen.
  5. If you're selling the same item on multiple channels, the sync prevents it from selling twice.
Note: If you have an item listed on both eBay and Whatnot, and it sells on eBay, BizInv will end the Whatnot listing automatically (if that integration is enabled).

Orders New

What is an order?

An order is a record of something that sold through a channel (eBay, your website, etc.). Orders are different from "marked sold" during a live show — orders come from external platforms and are synced automatically.

Where do I see my orders?

There's an Orders screen in the main navigation. It shows:

ColumnMeaning
Order IDPlatform-specific order number (e.g., eBay order ID).
ChannelWhere the order came from (eBay, Shopify…).
Item(s)Which inventory item(s) sold.
BuyerWho bought it (masked for privacy on some roles).
TotalOrder total, including shipping.
StatusPaid, pending, shipped, delivered, cancelled, refunded.
DateWhen the order was placed.

How do I filter orders?

  • By status — paid, shipped, delivered, cancelled.
  • By channel — eBay, Shopify, etc.
  • By date range — last 7 days, 30 days, custom.
  • By item — see all orders containing a specific SKU.

Can I see orders for one item?

Yes. Open the item's detail screen and look for its order history. It lists every order that included this item — including past sales if the SKU was reused.

What can I do with an order?

  • View details — open the order to see buyer, items, and shipping.
  • Mark shipped — if your workflow requires manual fulfillment.
  • Refund — Manager+ only.
  • Re-sync — force a fresh pull from the channel if status looks stale.
Important: Orders are read-mostly. You shouldn't need to edit them — they come from the channel. If an order looks wrong, re-sync first. If that doesn't fix it, escalate.

Team and access

How do I add an employee?

  1. Open the team screen and click invite.
  2. Type the employee's email.
  3. Choose their role.
  4. Send.

They'll get an email. Once they accept, they're on your team. If they don't get the email, ask them to check their spam folder — you can resend the invite from the same screen.

What can employees see?

Everyone in your business sees the same inventory. What they can do may differ based on their role.

What roles exist?

  • Owner — full control, including billing, settings, and team management
  • Manager — day-to-day operations: adds items, runs shows, runs audits, manages team members below them
  • Staff — adds items, picks items, and sells during shows; can't change settings or manage the team
  • Viewer — read-only; can see everything, change nothing
  • Print agent — special role for the label printer software; not a person

How do I change someone's role or remove someone?

Open the team screen and edit their role. To remove them, use the same screen — they lose access immediately.

What happens if someone leaves?

The items they added stay in your inventory. Removing a person doesn't remove their work.

Account and business

What happens if my business is suspended?

No one can sign in or see data until it's reactivated.

Can I delete my business or close my account?

Only the owner can request this. It's a serious step — all your data will eventually be removed. Contact support.

What happens to my data if I stop using BizInv?

It stays until you ask us to delete it.

Who can see my business's data?

Only people you've added to your team. Nobody outside your business can see it.

Is my data backed up?

Yes. Ask your administrator for the retention policy.

Vehicles and snippets New

Heads up: These features may or may not be enabled for your business. If you don't see them in your navigation, they aren't active for you. Ask your owner or BizInv support.

What is a vehicle?

A vehicle is a movable storage unit — a truck, van, trailer, or container on wheels. It's used by sellers who operate out of a mobile setup (e.g., flea markets, live shows, pop-ups).

If your business has vehicles enabled, you'll see a Vehicles screen. You can:

  • Add a vehicle (name, plate number, notes).
  • Assign items to a vehicle instead of a bin.
  • Move items between a vehicle and a fixed bin.
  • Audit a vehicle the same way you'd audit a bin.

What is a snippet?

A snippet is a reusable block of text — a template for item descriptions, listing titles, or notes. Useful when you list the same kind of item repeatedly.

If snippets are enabled, you'll see them in:

  • The item detail screen (insert snippet into description).
  • The intake screen (quick-fill descriptions).
  • Listing tools (eBay title templates).

Snippets are managed by Managers and Owners. Staff can use them but not create or edit them.

Are vehicles and snippets live features?

They exist in the BizInv platform, but whether they're enabled for your business depends on your plan and setup. If you need them and don't see them, contact BizInv support.

AI and reporting New

Does BizInv have AI features?

BizInv uses AI behind the scenes for tasks like:

  • Auto-categorizing items based on their name/description.
  • Suggesting eBay titles based on item details.
  • Anomaly detection — flagging unusual inventory changes.

Most of this happens server-side and doesn't need any action from you. If a user-facing AI suggestion appears on your screen, it will be clearly labeled.

Where do I find reports?

Reports live in a Reports screen (visible to Managers and Owners). Available reports typically include:

ReportWhat it shows
Sales by sourceWhich suppliers/lots made the most money.
Profit by itemCost vs. sale price for each item.
Inventory agingItems that have been in stock longest.
Audit reconciliationPast audits and their differences.
Channel performanceSales by channel (eBay, Whatnot, etc.).
Note: Reports may take a few minutes to generate if you have thousands of items. There's usually a "refresh" button on each report.

Common questions

Can two people work at the same time?

Yes. Changes show up for everyone within a second or two.

Can I use BizInv on my phone?

Yes, in a mobile browser. A dedicated app may exist depending on your setup.

Will I lose my work if the internet drops?

Most actions are saved before you see a confirmation. If something seems lost, wait for the connection and check again.

Why can't I see a business name when I look at the system?

Business names are internal. What you see in the app is your business's actual name.

Why did my item disappear?

Most likely it sold, it was moved, or its status changed. Check its activity log.

The app is slow. What should I do?

Refresh the page. If it's still slow, check your internet connection.

Something seems broken. What do I do?

Take a screenshot. Note what you did right before. Send it to your manager or support.

What if I make a mistake?

Most mistakes can be corrected — move items back, reopen sources, re-do audits. Reach out if something seems unrecoverable.

Need help?

Contact your business owner or manager first. If it's a technical problem, they can escalate to BizInv support.
