BizInv
FAQ

Straight answers for daily BizInv users.

Dashboard New

What do the dashboard counts mean?

CountMeaning
Active inventoryItems in bins — not sold, not archived.
ListedItems live on a sales channel (eBay, etc.).
UnlistedItems not yet listed anywhere.
Sold (this period)Items marked sold in the current period (usually 30 days).
Pending ordersOrders received, not yet fulfilled.

Why does a count update slowly?

Counts are calculated asynchronously — give it a few seconds after a change. If still wrong after a minute, refresh.

Adding inventory

How do I add a new item?

  1. Go to intake.
  2. Scan or type the item's type, condition, and destination.
  3. Choose the bin or location.
  4. Confirm.

What condition values exist?

ConditionMeaning
NEWBrand new, tags on (if applicable).
NEW_OTHERNew without original packaging or tags.
USED_EXCELLENTNearly new. No visible wear.
USED_GOODMinor wear, fully functional. Most common.
USED_FAIRNoticeable wear. Still sellable.
FOR_PARTSNot functional or heavily damaged. Sold as-is.
Tip: Condition is never locked — change it any time.

What fields can I edit vs. what is locked?

Cost⚠️ Manager+Locked for Staff and Viewer.

Activity log🔒 Read-onlyAppend-only.

Can I review or undo a batch?

Yes. Every item in a session is individually editable — open it, fix the field, or mark it archived. The activity log records who added it and when.

Heads up: If a batch partially fails (e.g., network drop), items already saved remain in the list. Resume scanning — no cleanup needed.

Why did the system slow down after many scans?

There's a per-minute add limit. If you scan very fast, wait a moment and retry — it's a safeguard, not a bug.

Finding items

How do I search for a specific item?

Type its SKU, part of its name, or a description word. Search matches any word you'd naturally type.

What if my search returns zero results?

  1. Shorten your search. Try "Nike" instead of "blue Nike running shoe".
  2. Search by SKU instead. Scan the barcode if you have it.
  3. Check the bin. Open the warehouse view and inspect it.
  4. Widen the filter. Turn off "Listed" or "Sold".
  5. Check if it sold. Sold items are hidden by default.

How do I narrow a search?

Filters stack on top of text search: Status (active, listed, unlisted, sold, archived), Condition, Bin / zone, Source, and Date added. Example: search "shirt" + bin AA101 + condition USED_GOOD.

Why doesn't my item show up in search?

It may lack search information. Search by SKU instead, or open it directly from its bin.

What fields are on the item detail screen?

Name / Description✅Display name, listing notes.

Moving items

How do I move an item to a different bin?

Open the item and change its location.

How do I mark an item as sold?

During a live show, or from the item's detail screen. It moves into sold history.

Can I undo a mistake?

Most actions can be corrected. Check the item's activity log first. If it doesn't help, escalate: Manager → Owner → BizInv support (system-level issues only).

Who can reverse a sale or delete an item?

ActionStaffManagerOwner

Delete an item❌✅✅
Note: Reversing a sale re-adds the item to its original bin. Both events stay in the activity log.

Sources and lots

What's a "source"?

Where an item came from — an estate sale, thrift store, or lot you bought. Each source tracks its cost and item totals.

What happens if I close a source?

Nothing is deleted. It stops being used for new items and can be reopened later.

Warehouses and zones

What's a "zone"?

A group of bins — like "Aisle A, Unit B, shelves 1–5". Each zone holds multiple coded bins (e.g., AA101, AA102).

What's a "container"?

A cart, tote, or movable bin. Useful for shows — load it up and know exactly what's on it.

How do I create a zone?

Open the locations screen and add a zone: enter the area letter, unit letter, shelf count, and spots per shelf. Every bin is created automatically.

How do I delete a zone?

Open the zone and delete it. Move any items in its bins first.

How do I take a container out of service?

Open it and mark it inactive. It disappears from most screens; history stays.

Live shows

How does a show work?

  1. Create the show on the shows screen — the system suggests the next show code.
  2. Build a pick list: pick the items you want to sell.
  3. Physically gather items — tap picked on each as you grab it.
  4. During the show, tap sold on each item as it sells; mark unsold items not sold (they go back to their bins).
  5. End the show when done. Delete it if created by mistake.

A live status indicator shows whether the show is running and if anything's wrong. Green = fine; a warning means check the show details.

Warehouse audits

How do I do an audit?

  1. Pick the bin to check.
  2. Scan or type every SKU you find there.
  3. Submit.

The system compares what you found against what it expected.

What does a difference look like?

Row typeMeaningSuggested action
✅ MatchExpected and found.Nothing.
⚠️ MissingExpected, not found.Search other bins, then mark lost or move.
➕ UnexpectedFound, not expected.Add to this bin, or move to its correct bin.

What actions can I take on a difference?

  • Accept correction — update the system to match reality.
  • Move item — reassign to another bin.
  • Mark lost — flag for reporting.
  • Ignore — leave open to fix later.
  • Re-audit — start over for this bin.

A reconciliation report is created and stays in audit history. Audit as often as fits your business — one bin per day, weekly sweep, etc.

Printing

How do labels get printed?

Automatically. The system knows your printing setup and routes labels to the correct printer based on your rules.

What if nothing prints?

  • Check the printer is on and connected.
  • Check the print station is online.
  • If it still fails, check printing rules or ask a manager.

Wrong printer? The rules need adjusting — only Owners and Managers can change them.

Channel listings New

What is a channel listing?

An item sent to an external sales platform — usually eBay — so it can sell there. BizInv tracks which items are listed, where, and for how much.

Which channels does BizInv support?

  • eBay — fully integrated (listings, price sync, sales pull-back).
  • Whatnot — live shows (see "Live shows").
  • Shopify, Poshmark, Amazon — support varies by plan.

How do I know if an item is listed on eBay?

Open the item's detail screen and look for Listed on eBay:

  • Not listed — in inventory, not on eBay.
  • Listed — live on eBay (title and price shown).
  • Ended — listing ended or expired.
  • Sold — linked to your Orders screen.

Can I edit the eBay title from BizInv?

Yes — Manager or Owner only. The eBay title field can be edited and pushed to eBay. Staff and Viewers can see it but not edit it.

Where do I see all my channel listings?

A Listings screen (sometimes "Channel Listings") shows all items on external platforms, filterable by channel, status, date listed, and price range.

What happens when an item sells on eBay?

  1. eBay notifies BizInv of the sale.
  2. The item is marked sold across all channels and leaves active inventory.
  3. An order is created in the Orders screen.
  4. Multi-channel sync prevents double-selling.
Note: If an item is on both eBay and Whatnot and sells on eBay, BizInv ends the Whatnot listing automatically (when that integration is enabled).

Orders New

What is an order?

A record of something sold through a channel (eBay, your website, etc.). Unlike "marked sold" in a live show, orders come from external platforms and sync automatically.

Where do I see my orders?

An Orders screen in the main navigation shows Order ID, Channel, Item(s), Buyer, Total, Status, and Date.

How do I filter orders?

By status (paid, shipped, delivered, cancelled), channel, date range (7 days, 30 days, custom), or item (all orders containing a specific SKU).

What can I do with an order?

  • View details — buyer, items, shipping.
  • Mark shipped — if you fulfill manually.
  • Refund — Manager+ only.
  • Re-sync — force a fresh pull if status looks stale.
Important: Orders are read-mostly — they come from the channel. If an order looks wrong, re-sync first; if that fails, escalate.

Team and access

What roles exist?

  • Owner — full control (billing, settings, team).
  • Manager — day-to-day ops; adds items, runs shows/audits, manages team below them.
  • Staff — adds items, picks, sells during shows; can't change settings or manage the team.
  • Viewer — read-only.
  • Print agent — label printer software role, not a person.

How do I add an employee?

Team screen → invite → enter email → choose role → send. They get an email; resend from the same screen if it doesn't arrive. Change roles or remove people there too — access changes take effect immediately.

What happens if someone leaves?

The items they added stay in your inventory. Removing a person doesn't remove their work.

Account and business

What happens if my business is suspended?

No one can sign in or see data until it's reactivated.

Can I delete my business or close my account?

Only the Owner can request this. It's serious — all data is eventually removed. Contact support.

Who can see my business's data?

Only people you've added to your team. It stays until you ask us to delete it.

Is my data backed up?

Yes. Ask your administrator for the retention policy.

Vehicles and snippets New

Heads up: These features may not be enabled for your business. If you don't see them, they aren't active. Ask your Owner or BizInv support.

What is a vehicle?

A movable storage unit — truck, van, trailer, or container on wheels — for sellers operating out of a mobile setup (flea markets, live shows, pop-ups). If enabled, you can add vehicles, assign items to them instead of bins, move items between vehicles and bins, and audit them like a bin.

What is a snippet?

A reusable block of text — a template for item descriptions, listing titles, or notes. If enabled, they appear on the item detail screen, intake screen, and listing tools. Managers and Owners manage them; Staff can use them but not create or edit.

AI and reporting New

Does BizInv have AI features?

Yes — mostly behind the scenes: auto-categorizing items, suggesting eBay titles, and flagging unusual inventory changes. Most needs no action from you; any user-facing AI suggestion is clearly labeled.

Where do I find reports?

The Reports screen (Managers and Owners) includes Sales by source, Profit by item, Inventory aging, Audit reconciliation, and Channel performance. Large reports may take a few minutes; each has a refresh button.

Need more help?

Contact your business owner or manager first. For technical problems, they can escalate to BizInv support.
